Accounts Manager

We are currently recruiting an Accounts Manager for a Permanent contract.
This role is hybrid, both working from home and in our Oxford hub.

The starting salary is £42,275

Purpose of the job

To manage the finance transaction team on a day-to-day basis. Managing the financial transaction processing and other accounting duties, to ensure the integrity of the financial transactions so they can be used for monthly reporting and all statutory reporting, ensuring smooth running of the financial accounting for the IFoA and its subsidiaries and associate companies.

The IFoA has an annual turnover of over £30m per annum. Some of the subsidiaries have turnover of up to £750K. The post holder will be part of team that processes that income and associated expenditure.

Principal accountabilities

To manage the Finance Transaction Team (except the Payroll Accounts Officer) so they are well motivated and fully trained with yearly objectives and development plans based on performance.
Ensuring workloads are achieved and balanced between members of their where necessary to achieve finance deadlines.

To manage and oversee the Month end ledger reconciliations are completed within agreed timescales. Working with the Payroll Accounts officer on this objective in relation to their area of responsibility – payroll and cash.
To manage and oversee the daily ledger reconciliations of income from members and students from the CRM system to that shown in the General ledger carried out by the transaction team. Ensure prompt identification and release of unidentified (unclaimed) income.

To manage and oversee to ensure month end closure transactions provide a timely, clear and accurate base for the management accounts e g. VAT, deferred income, correction of miss postings and all expenditure accruals.

To answer queries from budget holders working with the Finance Analysts to proactively resolve any posting discrepancies and resolving why they occurred, to liaise with budget holders including Senior leadership team, Finance Business partner and analysts.

To work with Financial Accountant Head of Finance and Operations on the timely production of the monthly management accounts for IFoA and subsidiaries to the agreed timetable substituting for the Financial Accountant when required to cover absence.
To check all payments prepared by the Finance Transaction Team and approve for the Financial Accountant or Head of Finance and Operations to release.

To prepare or review / oversee All balance sheet reconciliations to the agreed timetable for month end and year end for IFoA and where required its subsidiaries and associate companies.

Year-ends liaise directly with the external auditors in relation to IFoA and all subsidiaries key areas in income and expenditure.

Perform year end analysis for rationalisations on Income for external audit on IFoA and subsidiaries.

To perform the role of Super User for the CRM and Key user for the Finance System, and ongoing training of the Finance Transaction team.
Develop and evolve processes for the CRM and finance system to maximize efficiencies for the transaction team. Train other members of the Transaction Team in the use of these systems.

To review and provide backup for the month in house Payroll and backing calculations. Provide a backup for the Payroll and Senior Accounts Officer for the preparation and submission of monthly payroll of 180 staff, month end payroll close, RTI and year end close if required.

To manage and oversee Subsidiaries Company Accounts in entirety - Oversee daily transactions including currency where appropriate for IFoA Foundation and maintain ledgers. To manage and oversea the production of the statutory year end accounts for the subsidiaries up to final trial balance and completed draft word version for ready for review by the Financial accountant.

To oversee the work of their Finance transaction team on ICA 98 Limited, CERA and CAA Global. including any local reporting to regulators or fiscal representatives outside of the UK to comply with statutory timetables, regulations and local payroll for overseas employees.

Prepare the Monthly Management and financial reporting for the IFoA Foundation Trustees. Prepare year end accounts up to final trial balance and completed draft word version for review and liaise with external auditors.

To manage and be responsible for the IFoA Monthly pensions preparation and liaising with the pension providers. All transactions, reconciliations, and reporting on the IFoA related to IFoA pension scheme.

To review and resolve Expenditure accruals from various sources – invoice log, budget holder advice or long-term accruals or knowledge of budget holder activity

Liaise with Budget holders to ensure solutions are provided to their queries and good working relationships are maintained.

Main contacts

Will have both internal and external contacts and be required to provide advice and guidance. Internal contacts include:

  • Budget holders
  • Project Manager
  • Financial planning and Analysis Team
  • Senior Leadership Team
  • Executive Leadership Team
  • other staff with financial responsibilities ie processing staff.
  • External contacts include external and internal auditors, company bankers, partner finance teams, government regulatory bodies and suppliers as required.

Impact

It is essential for the daily transactions to be input accurately, promptly and continuously to comply with legal requirements, and to ensure the accuracy and clarity of the IFoA’s records. Needs to maintain good relationships with other departments in order to keep the processes flowing smoothly for payments to volunteers, members, suppliers and staff.

Decision-making and complexity

Required to enforce, advise on and work within the financial policies and procedures of the IFoA Interpretation of working methods and processes to resolve financial problems rather than just reacting to them.

Ability to make a balanced judgement between ensuring compliance with procedures and practicalities for the organisation.

Works within overall objectives and the financial policies and procedures of the IFoA. Decisions will usually have short to medium-term implications for the Finance Team and this may well influence organisation wide over a similar timescale. The post holder may be required to make occasional visits to other IFoA sites or third parties as required to perform their duties. This may require overnight stays.

Knowledge and experience

  • Experience of using a general ledger (Coda Dream or similar) is essential as well as managing links to other systems such as a CRM or similar
  • Ability to make a balanced judgement between ensuring compliance with procedures and practicalities for the organisation.
  • Staff management experience of a small Finance Team
  • Good financial accounting knowledge, gained through experience or qualification, covering all ledgers, capital accounting, reconciliations and preparation of balance sheet and profit and loss accounts.
  • Good IT skills and in particular, Excel (intermediate level at least), Access and Word. Good general knowledge on Microsoft Dynamics and Microsoft 365. Knowledge of managing the integration of large amounts of data between key systems is required and ongoing development of system.
  • Previous experience of cash management and / or Treasury Function
  • Payroll experience would be advantageous.
  • Good communication skills with the ability to influence, persuade and negotiate to achieve a solution
  • Ability to cope with work pressure prioritising work is essential and priorities constantly change so flexibility and pro activity is needed.
  • Methodical and organized with an attention to detail
