Reflective Practice Executive

We are currently recruiting a Reflective Practice Executive for a Permanent contract.
This role is hybrid, both working from home and in our Edinburgh hub. The role holder is expected to be in the hub at least once per month.

We encourage our colleagues to work flexibly between home and the hub to suit their needs and preferences, in line with our hybrid working policy.
Colleagues are able to work their hours flexibly, in line with core business hours and requirements. We also offer formalised flexible working agreements.

The starting salary is £33,345

Purpose of the job

Working closely with the CPD and Reflective Practice Manager, this role supports the delivery of the IFoA’s CPD Scheme and Reflective Practice Discussion (RPD) programme. The role holder is responsible for conducting high quality and engaging reflective practice discussions with IFoA members and supporting those members in carrying out meaningful learning.

This is a member facing role which involves regular interaction with IFoA members at all stages of their career. The role reports into the CPD and Reflective Practice Manager and works closely with the wider Regulatory Policy Team and colleagues from across the IFoA.

Principal accountabilities

  • Support the delivery of the CPD Scheme and RPD programme, including:
    • Providing administrative support for all aspects of the CPD Scheme and RPD programme
    • Facilitating RPDs with members to support them in reflecting on the learning outcomes of their CPD activities and how that learning was, or will be, applied
    • Maintaining all RPD related documents, including RPD files, spreadsheets, templates and the CRM
    • Working with the CPD and Reflective Practice Manager in promoting awareness, and the benefits, of the RPD programme amongst Members
    • Assist in maintaining the RPD Appropriate Persons Pool of volunteers
    • Responsible for maintaining information and materials available to support RPDs (both IFOA-led and Member-led) – including the maintenance of relevant webpages
    • Working with the CPD & Reflective Practice Manager to gather and cascade relevant information and feedback across the organisation
    • Support the CPD & Reflective Practice Manager in collating statistical information for reports to the Regulatory Board, FRC and other stakeholders
  • Manage the CPD feedback mailbox:
    • Respond to/acknowledge emails within agreed timescales
    • Escalate more complex queries to the CPD and Reflective Practice Manager
  • Provide support to any change projects related to CPD and RPDs
  • Support in the development and delivery of training and education on new initiatives or issues relating to CPD and RPDs, as required
  • Assist with the set up and administration of UK Practice Modules
  • Provide support across the General Counsel Group, as required, including holiday cover

  • Required to exercise judgement and make decisions commensurate with the role of carrying out Reflective Practice Discussions.
  • Responding to CPD and RPD related queries and exercising judgement on when to escalate queries.
  • Processing routine applications for Non-Practising CPD status, and exercising judgement on when to escalate more complex applications.
  • Prioritising a constantly changing workload.
  • Challenging experienced professionals on their learning and development, where appropriate
  • Determining when more complex cases should be escalated to the CPD and Reflective Practice Manager.
  • Develop and follow procedures and identifying opportunities to improve existing processes

Complexity

  • The role is varied and requires the post holder to be highly organised and flexible in the tasks that they deal with.
  • Facilitating high-quality and engaging discussions with experienced professionals and supporting them to carry out meaningful learning.
  • Requires a broad understanding of actuarial skills to allow the post holder to be able to fully engage in the discussions.
  • Requires the post holder to have an understanding of the offerings available from the IFoA to promote to members, as well as an understanding of when feedback should be relayed to other areas of the IFoA to inform learning and development material.

Impact

The role will be key in terms of supporting the delivery of one of the most significant regulatory functions. The RPD programme is a high-profile initiative for the IFoA and involves significant member interface, therefore the way in which the discussions are organised and conducted is crucial from a reputational perspective.

Skills, knowledge, and experience

Essential

  • Excellent communication skills, particularly oral communication skills
  • Strong administrative skills
  • Experienced user of MS applications, in particular Word, Excel and PowerPoint.
  • Experience of coaching or interviewing
  • Strong attention to detail and accuracy
